ACFEA Tour Consultants, Inc. respects your privacy. This policy describes our practices regarding obtaining, using, and safeguarding your personal information.


Obtaining and processing your personal information is an essential part of making travel arrangements on the behalf of others. If you participate in one of our concert tours, or if we make any travel arrangements for you independently, it will be necessary for us to receive some information from you. We take this role very seriously and are committed to safeguarding your personal information at every step along the way.


Information collection, use, and storage

We only collect information which is necessary to make travel arrangements on your behalf and at your request, or to communicate with you about these arrangements. This includes but is not limited to: your full name, birth date, citizenship, gender, passport number, passport issue and expiration dates, home address, phone number, email address, emergency contact name, relationship and phone number, frequent flier account numbers, Known Traveler ID or Redress numbers, and some limited health information such as allergies. If you choose to participate in a contest on social media or contact us through our social media platforms, we will likewise have a record of those entries and conversations, and therefore your social media profile names. If you need our assistance with a travel insurance claim, we may need information such as a policy number and a claim number. If you are traveling with an instrument or items of value and require assistance with a carnet, we may need to collect information such as serial numbers and instrument insurance policy numbers. 


Information is either collected through our online portal (e.g. Tour Central), through paper forms (e.g. Tour Participant Profiles, Individual Travel Requests, Incident Reports), or, depending on the sensitivity of the information, over email, by text, or during a phone conversation. Information will only be collected by ACFEA staff firsthand.


Past or present tour participants or parents or guardians of past or present tour participants are welcome to inquire about their own personal information held by us at any time by contacting us at info@acfea.com, 425-776-3273, or ACFEA Tour Consultants, Inc, 110 Third Avenue North, Suite 202, Edmonds, WA, 98020. If at any time you wish us to delete information we have about you, please be aware that this will limit our ability to make arrangements on your behalf, and may result in you no longer being able to participate in the tour.


We only share information with third parties who are travel vendors with whom we book travel on your behalf, such as hotels, coaching companies, or sightseeing providers who might require select information for a specific reason (birthdates in order to obtain student discounts, for example). We do not control the privacy policies of these businesses. We do not share your personal information to any other firms or agencies for any other reason, unless required by law, or in the event of a sale, merger, or acquisition of our company. We never sell or rent any personal information about any of our tour participants or clients with anyone or any other entity.


Payment information

ACFEA takes your financial security very seriously.  All payments accepted through our secure online platforms are processed using the highest levels of security with a PCI compliant platforms and robust fraud filters.  Tour payments made through our online portal (Tour Central) are processed by PayPal which keeps your personal data private and secure.  Credit card information is never stored on any ACFEA server.  If we are processing a payment for services directly, we will require a signed authorization including billing information such as credit card number, expiration date, security code, cardholder name, and billing address. After we use the billing information to make the payment, the information is immediately destroyed.


Information Collected on www.acfea.com

We automatically collect metrics such as your IP address, web browser, Internet Service Provider (ISP), referring and exit pages, operating systems and device via cookies and tracking technologies such as Google Analytics. This is for marketing purposes and to administer the website and our social media platforms only. This information is not used in conjunction with any personally identifiable information. 


Minors

Some of our tour participants are under the age of 18. Therefore, it is necessary for us to collect the same information for them as for our other tour participants, but not without the consent of a parent or guardian. Our website does not otherwise actively market to or solicit information from minors for any other reason.
